The tiers

AI features inside software you already use

Many tools we already use have added AI features (Google Workspace, Microsoft Copilot, Canva Magic Write, Zoom AI Companion, Otter.ai). Treat each AI feature as a separate decision: covered by a school data privacy agreement → Tier A; on a personal or free account → Tier B at best. If meeting transcription or note-taking AI runs in a meeting, participants must be notified per S2 guidance.

The default rule

If a tool is not on the list, treat it as Tier C by default. Contact the S2 AI policy contact before using it with any school information.

Adding a tool

To request approval for a new AI tool, or to change the tier of an existing one, submit a brief request including: tool name, intended use case, who would use it, what data would be entered, and any privacy or licensing information available. Decisions typically within two weeks.
